Terms and conditions
These terms apply to every stay at Midsummer Meadow. Please read them before you book.

For the practical, everyday questions, see our Guest Q&A.
1. Bookings and confirmation
- We reserve the right to accept or decline bookings entirely at our discretion.
- Your contract with us begins when we issue a booking confirmation email. This will include your accommodation, booking dates and total payment.
- The person making the booking is responsible for all members of the party and must be at least 18 years old. Children under 18 must be accompanied by an adult.
- A booking is not confirmed until the 50% deposit has been received. The remaining balance is due 30 days before arrival.
- Prices are correct at the time of booking and are not subject to retrospective discounts or future promotions. We reserve the right to correct pricing errors on our website or booking system.
2. Cancellations by you
- Your booking is for leisure accommodation on specific dates. Guests do not have a statutory cancellation right under the Consumer Contracts Regulations 2013.
- Cancellations must be made in writing. Guests may cancel by emailing hello.midsummermeadowretreat@gmail.com. The cancellation date is the date we receive your written notice.
- If you cancel more than 30 days before arrival, your 50% deposit is non-refundable and no further payment is due.
- If you cancel 30 days or fewer before arrival, the full cost of the stay is payable and no refund is due.
- If we are able to re-let your dates, we will refund what we recover for them, less any costs we have already incurred.
- We strongly recommend holiday or travel insurance covering illness, cancellation and travel disruption.
3. Changes to your booking
- If you wish to change dates, guest numbers or other booking details, contact us as soon as possible by phone or email.
- We will do our best to accommodate changes but cannot guarantee them. Changes that reduce the total booking value may be treated as a cancellation and a new booking.
4. Changes or cancellations by us
- We may need to cancel or amend a booking because of essential maintenance, repairs or circumstances beyond our control.
- Where we cancel or materially change a booking for these reasons, we will offer a suitable alternative stay or, if none is available or acceptable, refund amounts paid.
- We are not responsible for additional costs such as travel expenses or alternative accommodation. Guests are advised to hold appropriate travel insurance.
5. Group bookings
- All group bookings, including larger family or friendship groups, must be approved in advance and guest names and ages supplied.
- Stag parties, hen parties or similar events are not permitted unless agreed with us in writing before booking confirmation. Failure to comply may result in immediate eviction without refund.
6. Behaviour and site rules
- Guests must follow site rules displayed on the website and at the property, and use accommodation solely for holiday purposes.
- Keep accommodation clean and tidy and leave it as found, taking rubbish away or disposing of it as instructed.
- No noise between 10pm and 8am.
- Guests must not cause nuisance, danger or damage to others or the property.
- No illegal substances are permitted anywhere on the property or grounds.
- No food or alcohol is available to purchase on site.
- Inkberrow is a self-declared Dark Sky village, so there is very little artificial light around Midsummer Meadow at night. Guests are encouraged to bring a torch for moving around the grounds after dark.
- Midsummer Meadow is a peaceful countryside setting. Amplified or loud music is not permitted. Any personal music should be kept at a low, unobtrusive level.
- We are unable to welcome guests' dogs or other pets at present. Assistance dogs are welcome — please tell us when you enquire.
- One car parking space is provided per accommodation. Vehicles must only be parked in designated areas.
- Smoking and vaping are not permitted inside accommodation or shared facilities.
- Candles, fireworks and Chinese lanterns are strictly forbidden.
- Fire pits and barbecues must only be used in designated areas, off the ground and never inside structures. Disposable barbecues are not permitted.
- Hot tubs are used at guests' own risk and all safety instructions must be followed.
- Children must be supervised at all times.
- Failure to comply with site rules may result in eviction without refund.
7. Maximum occupancy
- Guest numbers must not exceed the maximum occupancy stated for the chosen accommodation. Any child over two counts towards total occupancy.
- Exceeding occupancy limits may result in termination of the stay without refund.
8. Damage, loss and cleaning
- Please report missing or damaged items on arrival. Guests are responsible for damage caused by themselves or their party.
- We reserve the right to charge reasonable costs for repairs, replacements or excessive cleaning.
- A £100 refundable security deposit applies where stated.
- We accept no liability for loss or damage to personal items, vehicles or their contents, except where liability cannot legally be excluded.
9. Problems and complaints
- If you experience an issue during your stay, contact us immediately on 07551 325466 so we have the opportunity to address it.
- Complaints made only after departure may be difficult to investigate if we were not given an opportunity to resolve the issue during the stay.
- We have zero tolerance for abusive or aggressive behaviour towards us, our team or other guests.
10. Our right to evict
- We may ask a guest or party to leave immediately without refund following a serious breach of these terms, behaviour that endangers others or causes serious disturbance, excessive damage, or exceeding maximum occupancy.
11. Our liability
- We are not liable for loss or damage unless it is a foreseeable result of our negligence or breach of legal duty.
- Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or rights that cannot legally be excluded, including applicable rights under the Consumer Rights Act 2015.
- Guests use site facilities, hot tubs and fire pits at their own risk. Children must be supervised and remain the responsibility of their parent or guardian.
12. Events beyond our control
- We are not responsible for failure to perform our obligations caused by events beyond our reasonable control.
- Where possible, we will offer an alternative date or credit.
13. Practical information
- Check-in is at the stated check-in time for the booking.
- Lost property will be held for three months and then disposed of.
- Please respect the rural location and local wildlife. Bats and badgers are protected species.
- This is a woodland setting. Flies, insects and other wildlife are a natural part of the environment and are not evidence of uncleanliness.
14. Data protection
- Personal information is collected and processed in accordance with UK GDPR and applicable data protection law.
- Data is used to manage bookings and communicate about stays, unless the guest separately opts into marketing.
- We do not sell personal data to third parties.
15. Governing law
- These terms and conditions are governed by English law.
